Attendance that matches how your company actually works

Set your own working hours, half-day rules, office and home work locations and check-in options in Techno Team Via, with payroll suggestions that never change pay on their own.

Attendance policies are written once and lived every day. The policy says eight hours, half days below four, and office on certain days. The software, too often, says something simpler: you checked in, you checked out, that is a day. The gap between the two is filled by HR spreadsheets, month-end arguments and payroll corrections.

Attendance Rules in Techno Team Via lets the admin set attendance to match how the company really works: when a forgotten check-out closes itself, what counts as a full day or a half day, who works from the office or from home, and whether people can check in more than once a day. The rules are applied consistently to everyone, and payroll stays firmly in human hands.

Key takeaways

  • The admin sets an automatic check-out a set number of hours after check-in, for people who forget.
  • Full-day and half-day thresholds decide Present, Half Day or Absent on finished working days only.
  • Work location can be office, home or both, set for the company, then per department, then per employee.
  • Multiple check-ins a day can be enabled, and the day counts the time actually checked in.
  • Accounts sees half days and short days as a suggestion next to unpaid leave; payroll never changes by itself.

Why attendance rules need to be yours

Every company runs differently. A services firm with client-facing teams may need people in the office. A product team may be fully remote. Most companies today are somewhere in between, with some departments in the office, others at home, and a few individuals with their own arrangements.

When attendance software cannot express these differences, two things happen. Employees are asked questions that do not apply to them every time they check in, and HR ends up reconciling records by hand before payroll. Neither is a good use of anyone's time, and both make attendance feel like surveillance rather than simple record-keeping.

The aim of Attendance Rules is the opposite: set the rules once, in plain terms, and let the system apply them fairly and quietly.

There is a fairness point here too. When the rules live in people's heads, two employees in the same situation can be treated differently depending on who reviews their records. When the rules live in the system, the same hours produce the same result for everyone, and anyone can see why a day was marked the way it was. That consistency is what makes attendance something employees can trust rather than something they argue with at the end of every month.

How it works: the four settings

The admin configures attendance from a single place. Here is what can be set.

1. Automatic check-out

People forget to check out. It happens to everyone. Rather than leaving the day open indefinitely, the admin sets an automatic check-out a chosen number of hours after check-in. The day closes itself, and if the time it records is not right, the employee can correct it (more on that below).

2. Working hours: full day and half day

The admin sets two thresholds: the hours for a full day and the hours for a half day, for example 8 and 4. Techno Team Via then classifies each day:

Hours checked inDay is markedExample with 8 / 4
At or above the full-day hoursPresent8 hours or more
Between the half-day and full-day hoursHalf Day4 hours up to 8
Under the half-day hoursAbsent (leave without pay)Under 4 hours

These rules apply only to finished working days. They do not apply to today while it is still in progress, to weekends, to holidays, or to days on approved leave. Nobody is marked short on a Sunday or penalised for a day they were on sanctioned leave.

3. Work location: office, home or both

For each case, the admin chooses work from office, work from home, or both. The rule can be set at three levels:

  1. Company default, which applies to everyone unless something more specific is set;
  2. Department, which overrides the default for everyone in that department;
  3. Individual employee, which overrides both.

So a company might allow both by default, require its business development team to work from the office, and let one particular employee work from home. When only one place is allowed for someone, check-in does not ask them where they are working. It simply records the place that applies.

4. Multiple check-ins a day

Some teams prefer that people check out for a lunch break or step away during the day. Multiple check-ins can be enabled, so an employee checks in and out as often as needed. The day counts the time actually checked in, so breaks are not counted as working time and nobody has to do the arithmetic.

Hybrid work, handled by the rules: with location set by company, department and employee, the system knows who is expected where. Employees are not asked a question they have no choice about, and HR does not have to police it by hand.

Payroll accuracy without micromanagement

Attendance matters most at the end of the month, when it meets payroll. This is also where automation needs the most care: a rule that quietly deducts pay can do real harm if a record is wrong.

Techno Team Via treats attendance as input to a decision, not the decision itself. When accounts prepares the month, it sees the month's half days and short days as a suggestion next to unpaid leave. Accounts can review that suggestion and decide whether to use it. Payroll never changes by itself.

This gives finance teams the information they need, consistently calculated from the company's own rules, without removing the human check that payroll deserves. It also means managers do not need to watch clocks. The rules do the counting; people make the call.

Fairness built into the edge cases

Most attendance disputes come from edge cases: the day someone forgot to check out, the weekend they came in to finish a release, the day the automatic check-out recorded the wrong time. Techno Team Via handles these with clear, fair processes.

Correcting an automatic check-out

If a day was closed by the automatic check-out, the employee can correct it within 7 days. They give the real check-out time and a reason. Their reporting manager then approves or rejects the correction.

  • If approved, the day's check-out time is set to the real time and the hours follow.
  • If rejected, the day is treated as absent.

This keeps the employee in control of their own record, while making sure a manager confirms any change.

Comp-off for extra hours

When someone works extra hours, they can request comp-off for them. The request is checked against their attendance, so the extra time is based on what was actually recorded rather than on memory. That makes comp-off fair to the employee and straightforward for the manager approving it.

What it means for each team

For founders

Your attendance policy is applied the way you wrote it, across every department and every individual arrangement, without relying on someone to enforce it manually.

For HR

Fewer manual reconciliations, fewer disputes, and clear processes for corrections and comp-off. Rules are set once and changed in one place when the policy changes.

For finance and accounts

Half days and short days arrive as a clear suggestion next to unpaid leave, calculated from the company's rules. You decide what goes into payroll.

For employees

Check-in that only asks what it needs to, breaks that are not counted as work, a simple way to fix a forgotten check-out, and comp-off that reflects the hours actually worked.

Good attendance rules are the ones people barely notice: they match the policy, apply fairly, and only ask for attention when something genuinely needs a decision.

Where it fits: Attendance Rules is part of Techno Team Via. If you also use Techno IQ as part of EMS, the attendance suggestions sit alongside the payroll your accounts team already runs.

Attendance that fits, not the other way round

Attendance should reflect how your company works, not force your company into a single template. With automatic check-out, full-day and half-day thresholds, location rules at company, department and employee level, multiple check-ins, corrections within seven days and comp-off checked against attendance, Techno Team Via gives you the rules you need and keeps payroll decisions with people.
